Following your initial enquiry, we will send you one of our application forms to be completed and returned to us in your own time. Once returned one of our team will review your information and provide you with a free no-obligation Quotation if we are able to meet your needs. There are no payable fees until you accept our Quotation and return the signed contract which explains all you need to know about the terms and conditions for audit and certification. Once you have returned the signed contract, we will contact you to start the certification process and agree dates for the Stage 1 Audit to commence.

STAGE 1 AUDIT

The stage 1 audit provides us with a clear focus for planning the Main On-site Stage 2 Audit. Your auditor will review your management system and recorded documentation. We will let you know of any missing or non-conforming detail and we will give you a fair opportunity to implement any corrective action before we move on to the next step (Stage 2).

Once Stage 1 is complete you will have informed us of what you do, how you are going to do it and what documents and records you are going to use to help you to support and implement your Management System(s). This will all be documented within the Stage 1 audit report and an audit program will then be produced. Now it’s over to you to prove that you are doing exactly what your Management System says you are doing. This will be checked in the Stage 2 audit.

STAGE 2 AUDIT

This on site assessment allows us to evaluate and measure the effectiveness of your chosen Management System(s). Throughout the audit, auditors will verify that you are managing the processes & procedures in line with your business activity as effectively as is possible and meeting the requirements for certification to the standard(s).

All results and findings will be openly and transparently discussed and reviewed with the relevant people in your organization.

auditor will discuss the findings of the audit during the closing meeting. Should there be any corrective actions arising from the audit, we will discuss them with you and agree a plan of action. Once the auditor gets assured that all audit objectives have been satisfied, then the audit report and any recommendation is put forward to our decision maker, who will ultimately make the final decision.

CERTIFICATION DECISION

Decision Maker will impartially review your application and all evidence submitted by the Auditors. Once a positive decision has been made you will then be issued a certificate package. consequently, your clients, prospective clients or interested parties can enquire at any time to confirm the validity of your certificate.

SURVEILLANCE AUDITS

Your Certificate will be valid for three years. However, follow up of the conformance has to be confirmed.

To support you with this we will arrange a program of regular surveillance audits, which are normally carried out on an annual basis, subject to the size of your company or organization and the amount of sites you operate from.

We will contact you approximately three months prior to the surveillance audit due date to check the information we hold on record (your application) is up to date and then make arrangements with you to visit and carry out your surveillance audit. Once the surveillance audit has been completed the report and supporting evidence will once again be reviewed by the Decision maker and if compliance is assured, Certification shall continue.

RE-CERTIFICATION

After Initial Certification we will fully re-assess your management system(s) every 3 years. This is called a re-certification audit. The re-certification audit involves a full re-assessment of your management system(s).

time to renew

Once again the Certification Manager will review the Audit evidence presented and if warranted, you will be issued a new certificate for a further three years. Again, we will fully support you to verify on an ongoing basis through a program of surveillance audits.

Logo usage

After a positive decision on certification, it is possible to use the TKL logo on letterheads, sales and marketing materials, website, etc. Attached to this procedure is a sample of the logo and this the only way it can be used where it is permitted, but NEVER ON THE FINAL PRODUCT / LABORATORY CERTFICATE / CALIBRATION CERTIFICATE/ INSPECTION REPORT/ TRAINING CERTIFICATE. Rules for use of the logo as follows and must be strictly adhered to.

FSMS logo shall not be used of any statement on product packaging that the client has a certified FSMS. This includes all product packaging, both primary packaging (which contains the product) and any outer or secondary packaging.

When TKL logo is used, the logo must contain the standard for which the organization is certified and shall specify the number of certificates (ie. The number which appears on the assigned certificate).

• Logo must not be altered in any way, and should only be used on materials containing business address (es) in which the audit took place. It must not be in any way implied or otherwise indicated that the location (s), except those audited, are covered by a certificate.
• Logo of TKL may appear on the certificate or may be used in it, only if TKL confirms the certification for your scope of certification.
• Logo of TKL should not appear on products or to be used in any way which would imply that the product is certified.
• Logo of TKL can be used (with or without any accreditation logo) on stationery such as sales and contractual documents, letterheads, business cards, invoices, compliment slips, delivery slips, on advertising, displays, posters, TV advertisements, promotional videos, web sites, brochures.
• Logo of TKL alone can be used (the Accreditation Logo shall not be used) on all other applications such as on flags, on vehicles, on promotional material accompanying the product, on window stickers, on vehicles, billboard advertisements, on promotional goods such as pocket diaries, coffee mugs, coasters, doormats or any other application.
• Use of the logo must not in any way be misleading in terms of certification.
• In the case of suspension or termination of the contract, the use of the logo cancels in all advertising materials containing reference to the certificate.
• In the case of a reduction in scope, the client is required to correct all of the materials that indicate the certificate.
• Logo must not be used for activities that are outside the scope of certification.
• Logo must not be used in a way that could lead to a situation of loss of reputation or public trust.
• In case the product certification as per ISO 17065 the client does not use its product certification in such a manner as to bring TKL into disrepute and does not make any statement regarding its product certification that TKL may consider misleading or unauthorized.

TKL shall exercise the control as specified by the certification scheme over ownership, use and display of licenses, certificates, marks of conformity, and any other mechanisms for indicating a product is certified.

Incorrect references to the certification scheme, or misleading use of licenses, certificates, marks, or any other mechanism for indicating a product is certified, found in documentation or other publicity, shall be dealt with by suitable action.

If you still dissatisfied with our response we have committee for safeguarding our impartiality, we shall direct your complaint to them and we will abide by their decision.
